Job Summary:
Our client is seeking an Operations Assistant to join their team! This position is located in San Diego, California.
Duties:
- Coordinate activities throughout the office to ensure efficiency and maintain compliance with company policy
- Oversee office schedule, planning events, and scheduling rooms
- Help with managing agendas and calendars
- Manage emails, letters, packages, phone calls and other forms of correspondence
- Support bookkeeping and budgeting procedures
- Stay organized through Microsoft suite products and tracking via excel
- Create and update databases and records for financial information, personnel and other data
- Submit reports and prepare proposals and presentations as needed
- Assist colleagues whenever there is an opportunity to do so
Desired Skills/Experience:
- 2+ years of professional experience in office administration, operations, or as an administrative assistant
- Proficiency in Microsoft Excel and solid experience with the full Microsoft Office Suite
- Skilled in booking and scheduling for rooms, events, and other resources, with strong attention to detail
- Previous experience in an office setting with front-desk responsibilities, providing consistent support and a welcoming presence
- Excellent verbal and written communication skills, with the ability to think quickly and adapt to changing needs
- Demonstrated clerical abilities including answering calls, responding to emails, and managing scheduling
- Strong organizational skills, with the ability to prioritize tasks and maintain an efficient workspace
- Positive and professional attitude with a proactive approach to handling challenges
